Flextime is offered to Nxtbook employees as a voluntary benefit to allow flexibility in work schedules. However, to make flextime work to the benefit of the employee and the Company, certain guidelines must be followed. It is each participant’s responsibility to be familiar with and abide by these guidelines. Employees may lose the right to use flextime if they fail to follow the guidelines. Any questions regarding flextime should be directed to Human Resources.How It Works

Regular Business Hours (RBH) are 8:00 a.m. – 5:00 p.m. Monday through Friday. Any time off between these hours is considered flextime. You may not alter your RBH unless you have approval.

Flextime must be made up during the same pay week during which it was used (Sunday to Saturday).

A maximum of 4 hours of flextime may be used per pay week (Sunday to Saturday).

Each employee must work a minimum of 4 hours per day during Regular Business Hours to be eligible for flextime.

Individuals are responsible for giving at least 24 hours notice via email to Human Resources and fellow co-workers for flextime (this includes flexing over lunch if you will be gone more than 1 ½ hours).

If the required 24 hour notice is not given for flex requests you will be required to either:

Make up the time on the same day of the request or

Use PTO hours to cover the flex time (PTO will be applied in quarter day increments and a minimum of 2 hours of PTO time will be applied).

You may flex 4 hours the day before a PTO day as long as you follow regular flextime guidelines.

Everyone should put a temporary greeting on their voice mail when they are going to be out any time during RBH. This message should indicate the date and time of when you are going to be out, who they should speak to in your absence and when you expect to return voice mail messages that are left.

Caveats

You may NOT flex during team meetings, company meetings, training sessions and other pre-arranged meetings unless it is an emergency.

A minimum of a half hour unpaid lunch break must be taken each day you work more than 5 hours. This means that only ½ hour of lunch may apply to flexing and you may only skip lunch altogether if you work less than 5 hours that day.

Flex requests are approved on a first-come, first-serve basis and may be denied subject to business conditions or minimum personnel requirements. A minimum of 50% departmental coverage is required at all times.

A maximum of 2 hours of flextime may be used the day before a holiday, regardless of the day that the holiday falls on (i.e.: you may only flex 2 hours on a Friday preceding a Monday paid holiday). A maximum of 2 hours of flextime may be used the day immediately following the holiday as well. A minimum of 6 hours must be worked during RBH the day before and the day after a holiday.
